Gmail is one of the most widely used email services worldwide. According to statistics, Google's email service had 1.5 billion active users worldwide by early 2021. 17 years. Here are some of the best and most useful features of Gmail that you may not know.
Mute emails with long strands to minimize distractions
An active email thread can be annoying especially if it doesn't touch you directly. Gmail has a feature that allows users to opt out of those threads. The feature is called Mute. Simply open the email thread and tap the three dots on the right and select the Mute option.
This will move the conversation to the archive and will remain there when a new response comes. If possible, you want to check something on the line later or at any time, you can go to the Archive section and introduce the silence.
Automatically upgrade with better and more organized Gmail
Checking and deleting each email can be a daunting task. Here, the default Gmail settings for returning the user to the Inbox after deleting each email continuously adds to the woes. You can change this by enabling the Auto-advance feature. The feature allows users to move directly to the following email (old or new) in the list after deleting, archiving or muting email.
To do this, check in Settings -> Advanced - Enable Auto Advance -> Save Changes
Now, go back to Settings -> General -> Scroll to Auto Advance and select Go to next (new) conversation -> Save changes.
Post great / heavy attachments with Google Drive
Gmail automatically allows users to send attachments up to 25MB file size. However, you can use Google Drive to post great attachments. First, upload the file to Google Drive and click on the Drive icon in the compose section and paste the file.
Extended search option
Gmail is a Google product and will not be complete unless you provide in-depth search. Gmail comes with an advanced search feature that allows users to customize their search based on sender, recipient, keywords and more.
To access advanced search, click on the Settings icon to the right of the search bar.
Increase the recall time for your emails to 30 seconds from 5 seconds
Undo Send (remember email sent) old feature in Gmail. By default, this feature gives users a five-second window to remember email. However, there is an option to add this 5-second to 30-second window
To do this, check Settings -> General -> Undo send -> select 30 from the drop-down menu. You also have 10 and 20 seconds options.
Use Gmail Nudges to remind you of important emails
The Gmail Nudges feature is intended to remind users to reply to important emails or follow important emails.
To enable this header in Settings -> General -> Nudges
Here you will find two options - Suggest emails to reply and suggest emails to follow. Enable both if you want to receive timely notifications via Gmail about feedback or tracking.
Edit email
Gmail also offers an email editing feature where you can write an email whenever you want and schedule it for a later date or time.
To edit an email, type the email and tap on the down arrow without the send button and select Edit to send. Now, select a date and time from the preset option or select your own by clicking on the Pick date & time option.
Smart writing feature to help you compose emails faster
The smart writing feature in Gmail is intended to help users compose emails faster. It is powered by machine learning and offers suggestions as one type. Remember, Smart Compose is a Google Account-level setting. Changes to smart writing settings apply to any device where your account is logged in.
You can enable it by going to Settings -> General -> Smart Writing
Enter the email directly in the Tasks
Another great feature of the infamous Gmail is that you can create a Task directly from Gmail. To do this all you need to do is right click on any email and select the option to add to tasks.
Set passcode and expiration in your email in private mode
Privacy Mode in Gmail adds an extra layer of security to email and attachments to protect sensitive information from unauthorized access. With Privacy Mode, you can set an expiration date for messages or revoke access at any time. You can also set a passcode for emails sent in encryption mode.
To enable private mode, click on the Private Mode icon (represented by a clock and lock icon) -> select an expiration date and an SMS passcode (if you wish) and send a post. You can set an expiration date between 1 day and 5 years.
Use Gmail offline
Gmail also comes with offline access mode. This means you can read, reply to, and search for Gmail without an internet connection. All you need to do is enable the feature and bookmark mail.google.com. Note that the feature only works with Chrome.
To enable open settings -> Offline -> Enable offline mail
Save attachments directly to Google Drive and access them from anywhere
Gmail attachments can be saved directly to Google Drive. Just scroll down to the attachment section and instead of the download icon (bottom arrow) click on the Drive icon.
Activate Google Translate within your Gmail account
The Google Translate feature can work within your Gmail account. Allows users to translate the entire email into your preferred language. For this, you will first need to open the email you want to translate and then click on the three dots to the right of the page. Select a translation message option. A new bar will appear at the top of the post body where you can select your preferred language you want to translate into.
Create labels to better manage their Inbox
Labels are better than folders when it comes to arranging inbox. While working as folders, the only major difference is that you can assign multiple labels to an email and later find them by clicking on the labels on the left panel. Labels can also be used to search email or track activity. For example, you could create a label, say 'Continued' and 'Done' and separate ongoing and completed tasks. Also, users can edit the emails they need to follow or read later.
Enable the reading window to make better use of screen space
Use the Gmail reading window. This keeps your inbox visible while reading or replying to emails. To enable the reading window, click the Gear icon in the top right corner and scroll down to the reading window. Here you can choose between many buildings. Recommended to the right of the inbox or Below the inbox.
